Forms from Mosaic not pulling through to Mosaic Portal

In this article, we explain why forms created in Mosaic may not appear in Mosaic Portal after creation.

If youโ€™re having issues with forms created in Mosaic not pulling through to Mosaic Portal, please check the following:

Special characters

Ensure that youโ€™re not using any special characters such as colons, asterisks or underscores in the form or step title.


Template category

Ensure that the form template category matches the document category from Mosaic Portal, with the documentation category being case-sensitive. Please see the screenshot below for an example.

Step definition editor

Check that the minimum configuration required is in place in the Step Definition Editor.

  1. Click Tools then Configuration tool.

  2. Go to Workflow steps, then find the form in question.

  3. Click this symbol. image.png

In Step Definition Editor, for anonymous workflow steps the minimum configuration required under basic behaviours is as follows:

  • Can initiate workflow - must be checked.

  • Can be initiated without a subject - must be checked.

  • Can be duplicated - should be checked to allow multiple submissions of the same form to Mosaic.


Step availability

Step needs to be available for Portal and configured under the Portal tab.

  1. Click the External system configuration.

  2. Click the portal tab.

Match Web API

On the Mosaic Portal, in the integration administration screen, the pre-defined Admin User and Anon User must match the configuration in the Web API's screen within Mosaic.

  1. Click Configuration tool, then click Interfaces.

  2. Click Web API Client Registration.

๐Ÿ“Œ Note: Within the Integration administration screen the Mosaic URI is set to reflect the agreed port that your portal (as shown in the screenshot below) uses to connect to Mosaic. This should not be amended locally to reflect any other URIs.

  • Provide the form name exactly as it appears in both Mosaic and the Mosaic Portal.

  • Include screenshots of the form in Mosaic when you raise the case.
