Understand step statuses

Each workflow step in Mosaic moves through a lifecycle of statuses that determine what actions are available.

When a step is created, it starts as Incoming and progresses through statuses as workers start, complete, or reopen it. The actions available to you at any point depend on the step's current status and your role permissions.


Step statuses and available actions

Status

Meaning

Actions available

Incoming

The step has been created but not yet started.

Start (if you have edit permission).

Started

The step is currently being worked on.

Resume to continue editing, or View in read-only mode.

Completed

The step has been finished.

Reopen (if your role allows it).

Reopened

A completed step that has been reopened.

Resume to continue editing.

Cancelled

The step has been cancelled with a reason.

No further actions.

Checked out

The step is locked by a mobile or portal session.

Unlock (if you have the Remove Step Lock permission).

Step details page

When you open a step, the step details page shows a summary of all key information:

  • Step name and linked person or group.

  • Status with date stamps (incoming, started, completed, reopened, or cancelled).

  • Assignment - the worker or team currently responsible, with a link to their profile.

  • Previous steps - the steps that led to this one in the workflow.

  • Forms - forms attached to the step and their completion status.

  • Documents - any documents attached to the step.

  • Tasks - requests sent to other workers and their responses.

  • Email notifications - notification recipients, if configured.

  • Progress details - including whether the step was copied from another step or resulted from a split.

πŸ“Œ Note: If a step has privileged access, a crown icon is displayed next to the step name. Only workers within the privileged section can view the full details.
