This article covers the actions you can perform on workflow steps. For an overview of step statuses and the step details page, see Understand step statuses.
Start a step
When a step has Incoming status, you can start it to begin work.
Open the step from your work view or from the person's step history.
Click Start.
The step editor opens and the status changes to Started.
Complete the mandatory activities (forms, schedules, or care packages) as required.
π Note: If a step has a delayed incoming date set, it will not appear as available to start until that date is reached.
Save and autosave
While editing a step, your work can be saved in two ways:
Autosave - Mosaic periodically saves your progress automatically while you are working in the step editor.
Manual save - you can save at any time without completing the step.
π€ Tip: Autosave helps prevent data loss, but it is good practice to save manually before stepping away from your work.
Complete a step
Ensure all mandatory activities have been completed.
Select the next actions to determine what happens next in the workflow.
For each next action, set the assignee (a worker or team) and, if required, the incoming date.
Click Complete.
The step status changes to completed and new steps are created for each next action you selected.
β οΈ Important: You cannot complete a step until all mandatory activities are finished.
Reassign a step
Open the step summary.
Click Reassign.
Search for and select the new worker or team.
Confirm the reassignment.
π Note: When a step is reassigned, the new assignee is notified if notifications are configured for the step type.
Cancel a step
Open the step summary.
Click Cancel.
Enter a cancellation reason and, optionally, a note.
Confirm the cancellation.
β οΈ Warning: Cancelling a step cannot be undone.
Reopen a completed step
1. Open the completed step summary.
2. Click Reopen.
3. The step status changes to Reopened and you can resume editing.

Reopening is controlled by the Reopen after finish permission:
Setting | Who can reopen |
None | No one can reopen. |
Self | Only the worker who completed the step. |
Any | Any worker with this role. |
Delete a step
1. Open the step summary.
Click Delete.
Confirm the deletion.
β οΈ Warning: Deleting a step permanently removes it.
Unlock a checked-out step
If a step is locked by a mobile device (Mobilise) or portal session:
Open the step summary.
Click Unlock.
The checkout lock is removed.
β οΈ Important: Only unlock a checked-out step if you are sure the mobile or portal user has finished working on it.
