This article covers the next action definitions, task definitions, and role permissions that form part of a workflow step definition. For general step definition settings and activity configuration, see Configure step definitions and activities.
Configure next action definitions
Next actions define where a workflow can go after the current step is completed. Each links the current step to a target step.
Next action settings
Setting | Description |
Target step | The step type this action transitions to. |
May send to team | The new step can be assigned to a team. |
May send to worker | The new step can be assigned to a named worker. |
Recipient group | A pre-configured group of possible assignees. |
Address-based routing | Routes the new step based on the person's address. |
Delay days | A scheduled delay before the new step starts. |
Next action rules
Rule | What it does |
Immediate option | Allows the action without finishing all mandatory activities first. |
Abandon care package changes | Abandons in-progress care package changes when selected. |
Mandatory if | Makes the action mandatory only if a specific form answer has a given value. |
Requires all | Forces this action to be selected together with other specified actions. |
Max one of | Limits selection to at most one action from a defined group. |
Add a next action definition
Open the step definition.
Navigate to the Next actions section.
Click Add.
Select the Target step.
Configure assignment options.
Add any rules that apply.
Click Save.
Configure task definitions
Tasks (also called requests) are work items that can be sent to other workers during a step.
Setting | Description |
Mandatory | The recipient must respond before the step can be completed. |
Response required | A response must be recorded against the task. |
May send to team | The task can be routed to a team. |
May send to worker | The task can be routed to a named worker. |
Recipient group | A pre-configured list of possible recipients. |
Configure role permissions
Role permissions control what each worker role can do with the step type.
Permission | What it allows |
Browse | See the step in lists and search results. |
Read | View the step details. |
Edit | Open and make changes to the step. |
Add | Create new instances of this step type. |
Delete | Delete step instances. |
Copy | Duplicate a step. |
Override | Override locked or finished steps. |
Reopen after finish | Options: None, Self (only the completing worker), or Any (any worker with this role). |
Set role permissions
Open the step definition.
Navigate to the Role permissions section.
Select the Role you want to configure.
Set each permission as required.
Click Save.
π Note: Changes to role permissions take effect for all future interactions with steps of this type. Existing steps are also affected.
