Complete a step and select next actions

You can complete a workflow step in Mosaic and choose what happens next by selecting one or more next actions.

When you finish working on a step, you complete it and select the next actions. Next actions determine what steps are created next in the workflow and who they are assigned to. Some steps have a single next action, while others give you a choice of several options.


Complete a step

  1. Open the step you want to complete.

  2. Ensure all mandatory activities (such as required forms) have been completed.

  3. Select one or more next actions from the available options.

  4. Set the assignee for each next action, choosing either a worker or a team.

  5. If required, set the incoming date for when the next step should start.

  6. Click Complete to finish the step.

⚠️ Important: You must complete all mandatory activities before the step can be completed. If any are outstanding, the system will prevent completion.


How next actions work

Next actions are configured by your system administrator. They control:

  • Which step types can follow the current step.

  • Who the new step can be assigned to a specific worker, a team, or a choice made by the completing worker.

  • Whether the action starts immediately or on a future date.

πŸ“Œ Note: Some next actions have rules that require you to select all of them together, or limit you to selecting only one from a group. The system enforces these rules automatically.


What happens after completion

When you complete a step and select next actions:

  1. The current step's status changes to Completed.

  2. A new step is created for each next action you selected.

  3. Each new step is assigned to the worker or team you specified.

  4. If an incoming date was set, the new step appears as Incoming on that date.

  5. Email notifications may be sent to the assigned worker or team, depending on configuration.
