Use the step editor

You can use the step editor to complete activities, manage forms, and progress workflow steps in Mosaic.

The step editor opens in a separate window when you start, resume, or view a workflow step. It displays all the activities you need to complete for the step, organised as tabs. You can work through activities, add optional ones, save your progress, and finish the step when all mandatory work is done.


How the step editor is organised

The step editor has three main areas:

  • Toolbar at the top of the editor, with buttons to Save, Finish, and access optional activities or export options.

  • Activity tabs each activity (form, schedule, or care package) appears as a separate tab. Click a tab to switch between activities.

  • Title bar shows the step name and the person or group the step relates to.

πŸ“Œ Note: If the step is open in read-only mode (because you have view but not edit permission), the toolbar shows limited options and you cannot make changes.


Work through activities

Activities are displayed as tabs in the order they need to be completed. Mandatory activities are loaded automatically when the step is created.

  1. Click on an activity tab to open it.

  2. Complete the required information within the activity (for example, filling in a form or recording a schedule).

  3. Move to the next tab when you are ready.

πŸ€“ Tip: A validation indicator appears on each tab to show whether the activity has been completed correctly. Check these indicators before finishing the step.


Add optional activities

Some steps allow you to add optional activities, such as additional forms or letters, that are not part of the mandatory set.

  1. Click the Optional activities button in the toolbar.

  2. A dialog displays the available optional forms and letters.

  3. Select the activity you want to add.

  4. The activity is added as a new tab in the editor.

πŸ“Œ Note: Optional activities are only available if the step definition includes them. If the button is not visible, there are no optional activities configured for this step type.


Update inactive activities

In some steps, certain activities may be inactive (conditionally disabled) when the step is created. If the Update activities button is available in the toolbar, you can activate these activities.

  1. Click the Update activities button.

  2. A dialog shows any inactive activities that can be activated.

  3. Select the activity to activate it.

πŸ“Œ Note: This option is only available for in-progress steps that have not been reopened.


Save your progress

You can save your work at any time without completing the step.

Autosave

The step editor automatically saves your progress at regular intervals while you are working. Autosave pauses when a dialog box is open and resumes when it closes.

Manual save

To save manually, click Save in the toolbar. This saves all your current changes without completing the step.

πŸ€“ Tip: Autosave helps prevent data loss, but it is good practice to save manually before stepping away from your work.


Finish a step

When all mandatory activities are complete and you are ready to progress the workflow:

  1. Ensure all mandatory activity tabs show as complete (check the validation indicators).

  2. Select your next actions to determine what happens next.

  3. Click Finish in the toolbar.

  4. The editor runs validation checks across all activities, next actions, and tasks.

  5. If any issues are found, error messages are displayed for you to resolve.

  6. If all checks pass, the step is completed and the editor window closes.

⚠️ Important: The editor checks several things before allowing you to finish: all mandatory activities must be complete, next actions must be valid, and any mandatory tasks must have responses. Resolve all reported issues before trying again.


Export options

From the toolbar, you can export step content in different formats:

  • Export as PDF - generates a PDF of the step content.

  • Export as Word document - exports form data to a Word template.

πŸ“Œ Note: Export options depend on the step type and your permissions. Not all steps support all export formats.


Session timeout

If you are inactive in the step editor for too long, a session timeout prompt appears. This gives you the option to continue working or save and close.

  • If you continue, the session is extended.

  • If the session expires, any unsaved changes since the last autosave may be lost.

πŸ€“ Tip: If you see a session timeout prompt, save your work immediately to avoid losing any recent changes.


Closing the step editor

When you close the step editor window (either by finishing the step or closing the window manually):

  • Any temporary documents that were uploaded but not saved are automatically cleaned up.

  • The main Mosaic window refreshes to show the updated step status.

  • You are returned to the person summary or group details page.
