Understand restricted person records

You can restrict access to sensitive person records in Mosaic so that only users with specific permissions can view the full details.

Some person records are marked as restricted to protect sensitive information. This is used in cases involving domestic violence, witness protection, high-profile individuals, or other situations where access needs to be controlled. Restricted records still appear in search results, but most details are hidden from users without the right permissions.

Key behaviours

  • Restricted persons still appear in search results, but only limited information is visible to users without permission.

  • Documents, case notes, and workflow steps linked to a restricted person inherit the restriction. They are also hidden from users without the correct permission.

  • Worker relationships and allocations also respect the restriction.

⚠️ Warning: If you can see a person in search results but cannot view their full details, the record is likely restricted. Do not attempt to access restricted information through other means.


Permissions needed

To view full details of a restricted person record, you need one of the following:

  • View Restricted Person system function permission.

  • A role-level configuration that grants access to restricted persons.
