Correcting child protection workflow

You're unable to change worksteps controlling and updating child protection status or category once finished. This is due to the risk of problems that could occur with the complex triggers in place to ensure the child protection functionality works correctly.

Where you have information that needs correcting, or next actions amending, you have two options.

Changing the Child Protection Conference decision date

Where the Child Protection Conference decision date is incorrect, you can change this with the permission CHANGECPDATE, which gives you access to the change Child Protection date link. This appears on the workstep summary for a conference workstep, at the top-right in the Subject to a child protection plan details widget. This link enables you to amend the date and write a note to detail why the date has been amended.

Amending any other incorrect information in child protection workflow

Where necessary, you can delete a finished child protection workstep and re-input the information. It's recommended that this is carried out carefully by a trained system administrator to ensure nothing is lost.

Ensure you have checked through the requirements and information below before starting.

Before deleting

Before deleting a workstep, you'll need to ensure you have captured the information to re-input.

  1. Output all forms to PDF and save them.

  2. Check the information in each document has outputted correctly.

Delete option

The delete option appears under the left-hand menu on the summary page, however only if:

  • The user has the delete permission on the workstep.

  • The next actions from the workstep are not started or deleted.

What is removed?

Deleting a finished child protection workstep will:

  • Remove any existing next actions.

  • Delete the associated child protection information records for this step.

  • Delete associated case history records and child protection history.

  • Create a new incoming piece of work to replace this piece of work, except where it was an initiating workstep.

Next actions have started or finished

Where the data entry error is in a workstep that has had next actions started or finished, you'll need to delete back all workflow to the point of the error. You can't delete a workstep from the middle of a workflow, so it's recommended that users report errors in data entry as quickly as possible, so as few worksteps have to be deleted as possible.

πŸ“Œ Note: Before removing, ensure that you have output and saved all forms.

Form design

Amending child protection workflow is complex, so particular care should be taken to ensure any recording is accurate. Where you have a large number of errors occurring, we recommend that the form design is reviewed, ensuring workers are supported to enter the correct information as much as possible.
